Privacy Policy

Last updated: Last updated:

This policy explains what personal data KimonDesk collects when you visit the site or use the product, how we store it, and how to delete it. Short answer: we collect what the contact, demo, and waitlist forms ask for. Nothing else.

1. Who we are

KimonDesk is a product of Kimon Services Ltd, a company registered in the United Kingdom. The registered office address and VAT number are published on kimonservices.com. For any privacy query, write to hello@kimondesk.com.

2. What we collect

Today, the kimondesk.com site is a marketing site with three forms. The product itself has not launched yet, so no product-use data is collected in Milestone 1. The forms capture the following:

  • Contact form: your name, email address, and message body.
  • Demo form: your name, work email, company name, team-size band, and a short description of what you’re hoping to solve.
  • Waitlist form (Register / Login stubs): your email address only.

Every form also ships two hidden anti-spam fields: a honeypot (ignored if you’re human) and a render timestamp (ignored too — it’s used to spot instant bot submissions). Neither is stored, neither is associated with you.

3. Cookies and tracking

We run no analytics or advertising cookies on kimondesk.com today. The only cookie we set is kimondesk-consent, a signed value recording your cookie preferences so we don’t ask again.

Essential-only in Milestone 1

We ship three forward-compatible consent categories today, but only the Essential category is used. No analytics, no marketing pixels, no session recording. The banner is honest about this — the preferences are saved for when we start measuring anything.

Three forward-compatible categories

The categories are Essential (required for the site to function), Analytics (helps us see which pages work), and Marketing (lets us tailor follow-up content). Essential is always on. Analytics and Marketing default to off; we only read them when we add a tracker in a later milestone.

How to change your preferences

Use the Cookie Policy link in the banner at the bottom of the page. If the banner isn’t visible, delete the kimondesk-consent cookie from your browser and refresh — the banner will reappear and you can make a new choice. We also honour the browser setting prefers-reduced-motion; no animations run if that’s set.

4. How we use your information

Form submissions land in Mina’s inbox at hello@kimondesk.com. He reads them and replies within one business day. There is no marketing-automation pipeline, no drip sequence, no CRM enrichment. We never sell your data, and we never share it with third parties for advertising.

If you asked about KimonDesk and we haven’t heard from you in a few months, we may send a one-off follow-up email. You can tell us to stop at any time by replying, and we’ll stop.

5. Who we share it with

The full subprocessor list lives on the Trust Center. The short version for Milestone 1:

  • Resend — outbound email delivery. Your form submission is transmitted to our inbox via Resend. Location: UK / EU (via AWS SES upstream).
  • Hostinger — VPS and storage. The kimondesk.com site and any data it touches run on a Hostinger virtual private server in the UK (London / Manchester).

No other third parties see your data today. Future subprocessors (Anthropic for AI in M5, Stripe for billing in M7, Twilio for voice and SMS in M4) are listed on the Trust Center with their milestone and data category in advance.

6. Where we store it

All data stays in the United Kingdom. The Hostinger VPS that hosts kimondesk.com sits in Hostinger’s London and Manchester datacentres. No US transfer happens in Milestone 1. Transit is TLS 1.3; the VPS disk is fully encrypted at rest.

7. How long we keep it

Form submissions sit in the inbox at hello@kimondesk.com indefinitely today, because there is no database yet to hold a retention policy against. When the product ships (from Milestone 6 onward), a thirty-day soft-delete then purge policy will apply to everything in the database.

You can ask us to delete your form submission at any time by emailing hello@kimondesk.com. We’ll remove it from the inbox within one business day and confirm by reply.

8. Your rights under UK-GDPR

Under UK-GDPR you have the following rights. Email hello@kimondesk.com to exercise any of them; we respond within one calendar month (the statutory maximum).

  • Access — ask for a copy of the personal data we hold about you.
  • Rectification — ask us to correct data that is wrong.
  • Erasure — ask us to delete your data.
  • Restriction — ask us to stop processing while a query is resolved.
  • Portability — ask for a structured copy to take elsewhere.
  • Objection — object to any processing based on legitimate interests.
  • Automated decisions — we run no automated-decision or profiling systems in Milestone 1, so this right has nothing to object to today. If that changes, we’ll update this page first.

9. How to contact us

Data subject requests and any other privacy query go to hello@kimondesk.com. If you’re not satisfied with our response, you have the right to complain to the UK’s Information Commissioner’s Office at ico.org.uk.
